Shared Files Need an Owner, Not Another Folder

Advanced Managed IT Technology ยท Archive date: May 31, 2024

Three colleagues collaborating on shared documents around a laptop.

When everyone can create a folder, nobody necessarily owns the filing system. Over time, duplicate documents and forgotten sharing links make everyday collaboration harder to trust.

Assign an owner to each important shared workspace. That person should understand who needs access, which version is authoritative, and when outside collaborators should be removed. Use group permissions where practical and choose access levels that fit each role rather than giving everyone editing rights.

Start with one high-value workspace, such as finance or customer operations. Remove unnecessary copies carefully and tell the team where approved documents belong. Clear ownership makes cloud collaboration easier to maintain as employees and projects change.
